Privacy Policy

This Privacy Policy explains how GovBook ("GovBook," "we," "us") collects, uses and protects information when you use the GovBook portal, the Acquisition Marketplace, the teaming board, GovCon news, the careers pages and related services (the "Service").

GovBook is a business tool. Most information in it belongs to the company that uses it (your employer or the company you work with), and that company decides what is entered, who can see it and how long it is kept. For those records we act on the company's behalf.

1. Information we collect

Your Microsoft work account. You sign in with Microsoft. We receive your name, work email address, Microsoft account identifier and the GovBook roles your company assigns you. We never see or store your Microsoft password.

Work information your company enters. Depending on what your company uses, this can include timesheets, leave, pay rates, training records, policies you acknowledge, monthly status reports, service desk tickets, business development and proposal records, compliance records and files your company uploads.

Job applicants. If you apply through a careers page, we collect what you submit: your name, contact details, location, clearance level you state, resume and any answers you give. Resumes may also come from your company's own SharePoint folders when the company connects them.

Payment information. Paid plans are billed through Stripe. Card details go directly to Stripe; GovBook does not receive or store full card numbers.

Technical information. Like most websites, our servers record IP addresses, browser type, pages requested and times, which we use for security, troubleshooting and audit logs.

Public information. GovBook reads public sources such as SAM.gov, USAspending, federal and state procurement sites and government security advisories to show opportunities, news and alerts.

2. Cookies

We use a small number of cookies that the Service needs to work: a sign-in session cookie and a cookie that remembers which company's careers site you are viewing. We do not use advertising or cross-site tracking cookies.

3. How we use information

  • To provide the Service: sign you in, show the right data to the right people, run the features your company turns on and send the notifications you choose.
  • To keep the Service secure: detect misuse, keep audit logs and investigate problems.
  • To support, bill and improve the Service.
  • To meet legal obligations.

We do not sell personal information, and we do not use it for advertising.

4. AI features

Some features, such as the Darci assistant, the Morning read and drafting help, send the relevant text to an AI service provider to produce a response. Your company can turn off AI drafting in its settings. We use providers under business terms that do not allow them to use your content to train their models.

5. Who we share information with

  • Your company. People in your company see information according to the roles your company assigns.
  • Service providers that host or run parts of the Service for us under contract, including Microsoft (Azure hosting, Microsoft 365 sign-in and email), Stripe (payments) and our AI service provider.
  • Other companies, only when you choose. Marketplace listings and teaming posts you publish are visible to other GovBook users, and joint venture partners see what your company shares with them.
  • Legal reasons. When required by law, or to protect the rights, safety and security of users and the Service.
  • Business transfers. If GovBook is involved in a merger or sale, information may transfer under this Policy.

6. Where information is stored and how it is protected

Information is stored in Microsoft Azure data centers in the United States. It is encrypted in transit and at rest. Each company's records are kept separate in the database, so one company cannot read another's. Access requires Microsoft sign-in, and administrative actions are logged.

7. How long we keep information

Your company controls how long its records are kept and can delete them. Applicant records are kept for the retention period the company sets. Backups are kept for a limited time for recovery and then overwritten. When a company closes its GovBook account, we delete its data within a reasonable period, unless the law requires us to keep it longer.

8. Your choices and rights

You can ask to see, correct or delete your personal information. For records your company keeps, contact your company's GovBook administrator first; we will help them respond. Depending on where you live, you may have additional rights under state privacy laws, and we will honor them as those laws require. We will not treat you differently for exercising your rights.

9. Children

The Service is for business use and is not directed to anyone under 18. We do not knowingly collect information from children.

10. Changes to this Policy

We will post any changes on this page and update the effective date. If a change is significant, we will let users know in the Service.

11. Contact us

Questions or requests about privacy: contact your company's GovBook administrator.
